real estate professional improves workflows with AI tools

AI MasterTrack takeaways: The custom GPT workflows California agents use to save hours each week

Does it take hours to pull neighborhood comps, format market reports, or write listing descriptions? With custom AI workflows to automate these tasks, you’ll be able to turn eight hours into one, letting you focus on serving your clients and closing deals.

Fortunately, you can build custom AI workflows to automate these tasks, freeing up your schedule to focus on what you do best: serving your clients and closing deals.

This post covers the top takeaways from a recent Real Estate AI MasterTrack session, included in Allied Real Estate School’s Pro and Premier CE Memberships.

Key takeaways

  • Identify tour bottlenecks: Find repetitive administrative tasks and turn them into prime candidates for automation.
  • Create digital teammates: Give your bots names and personas to make adoption easier for you and your team.
  • Stay in control: Provide local MLS data and tax records yourself so you remain the local market expert.
  • Protect client data: Adjust your privacy settings so your proprietary information isn’t used to train public models.

Why custom GPTs are worth the effort

Take a look at your calendar from the past week. Pinpoint the tasks that drained your energy. If you have to do the exact same series of steps over and over again, it’s the perfect candidate for a custom GPT. Setting up an automated workflow might take a little time upfront, but the investment pays off when you save countless hours every week moving forward.

What is a custom GPT in plain English?

If you’ve used ChatGPT, you know that you have to explain exactly what you want every single time you start a new chat. A custom GPT is a personalized version of ChatGPT that remembers your specific instructions and background knowledge. You don’t have to prompt it from scratch every time.

The recipe and the culinary school

Think of your custom GPT like a brand-new chef at a restaurant. The instruction section is the recipe. It tells the AI exactly what ingredients to use and what steps to follow to cook up your desired result. The knowledge section is the culinary school. This is where you upload files like your brand guidelines or local market stats so your chef has the specialized education needed to do the job right.

Here’s what Allied Real Estate School Pro and Premier CE members recently learned about using custom GPTs in their real estate businesses.

Allied Real Estate School CE members also have the option for a free or discounted Real Estate AI Specialist certification.

Takeaway 1: Start with a team help desk GPT

If you work on a real estate team or run a brokerage, you probably get the same questions repeatedly. Agents want to know about commission splits, marketing guidelines, and policy details.

Train AI on your internal documents

A team help desk is the perfect first project. You can upload your team agreements and policy manuals directly into the knowledge base. When an agent asks a question about social media rules or transaction fees, the GPT will instantly read those documents and provide a consistent and accurate answer based on your actual company policies.

Takeaway 2: The market snapshot GPT

Providing market updates is a great way to stay in touch with past clients and generate referrals. However, compiling the data manually takes forever. You can set up a market snapshot GPT to do the heavy lifting.

You remain the professional

AI shouldn’t guess about current housing prices. Instead, program your GPT to ask you for the inputs it needs. It can prompt you to upload a tax printout and a CSV export from your MLS that is strictly scoped to a specific zip code. You’re still the professional fetching the accurate local data, but the AI handles the tedious work of organizing it into a cohesive report.

Takeaway 3: Turn chat gold into a reusable tool

Sometimes you have an amazing interaction with standard ChatGPT. You might feed it the best practices from top real estate coaches, run some comps, and end up with a brilliant strategy for a seller price reduction.

From chat to instructions

You don’t want to lose that magic. You can ask ChatGPT to look at the conversation you just had and turn it into a set of instructions for a custom GPT. It’ll condense your successful interaction into a repeatable recipe. You can then paste those instructions into the setup screen of your new custom GPT, allowing you to replicate that same high-quality output whenever you need it.

Takeaway 4: Make outputs client ready

Raw text on a screen is great for your own notes, but you can’t hand that to a client. You need your market reports and pre-listing packages to look polished and professional.

Enable data analysis for visual appeal

Enable the Code Interpreter and Data Analysis features in the configuration settings. This allows your GPT to generate downloadable PDF files instead of just plain text. You can even instruct it to include a cover photo of the property and generate charts to make the data visually appealing and ready to present to your sellers.

Takeaway 5: Build digital teammates

Adopting new technology can feel intimidating. One of the best ways to overcome this resistance is to humanize your AI tools. Instead of looking at a blank screen and a blinking cursor, you can interact with a specialized digital assistant.

Give them a name and a job

Build an organizational chart for your business that includes your AI helpers. You might have “Listing Larry” to write all your property descriptions and “CMA Charlie” to handle your comparative market analyses. Giving them names and specific roles makes them feel like actual members of your team, which makes you much more likely to use them regularly.

Practical limits and privacy settings

Before you start uploading your entire hard drive, it’s important to know how the system handles your information. You want to make sure your data is secure and that you understand the technical boundaries.

File limits and data controls

Custom GPTs currently allow up to 20 knowledge files, each up to 512MB (limits may vary by plan). If you have many small documents, you can combine them into a well-organized PDF before uploading to stay within file limits.

If you’re using a Free or Plus plan, you can opt out of having your content used to improve OpenAI’s models in your Data Controls settings. For Team and Enterprise plans, business data is not used for model training by default. Always review your workspace’s privacy and data control settings to ensure they align with your company’s policies.
